Cancellation and Refund Policy
The VACorps Program Fee, totaling USD 2975, is categorized into three payments:
- Program Deposit: The Participant shall submit a refundable deposit of USD 350.00 to initiate the placement process, subject to the terms and conditions specified in the VACorps Program Deposit Agreement. The USD 350 program deposit shall be refunded under the following circumstances:
- VACorps fails to secure an internship placement meeting the Participant’s professional specifications as indicated in the “VACorps Internship Questionnaire,” and all reasonable alternatives have been exhausted.
- The period for securing the Participant’s internship exceeds the stipulated 30 business days (unless otherwise specified), and the Participant officially requests a refund from their VACorps placement advisor or admissions coordinator within 14 days of rejecting the most recent internship proposal.
- Program Acceptance Fee: Upon accepting an internship placement, the Participant has a 14-day window to remit USD 650, thereby confirming their position in the program. Unless expressly stated in writing by a VACorps representative, once the Participant accepts the internship placement and pays the program acceptance fee, both the USD 350 program deposit and the USD 650 program acceptance fee become non-refundable due to services rendered. These amounts contribute toward the VACorps program participation fee of USD 2975.
- Final Program Fee: The remaining program balance of USD 1975 is due 14 days prior to the Participant’s scheduled arrival in Cape Town. All program fees must be settled before departure. Failure to meet this requirement will result in a forfeiture of program benefits, including but not limited to placement in a confirmed internship site, airport transfers, accommodation, and program support.
In the event that payments are not made strictly in accordance with the foregoing, VACorps reserves the right to remove the Participant from the program roster and replace them with another participant. In this scenario, the Participant forfeits the refundable deposit and USD 650 Program Acceptance fee as described above, and the remaining terms in this document shall apply accordingly. Proof of payment must be provided to VACorps for reservation confirmation, and payments shall be made into a bank account designated by VACorps, free of any bank fees or deductions.
CANCELLATION:
- If a program internship placement is canceled for any reason prior to the Participant’s arrival, VACorps will endeavor to offer an alternative internship placement. If such an alternative placement is unavailable or unsuitable for the Participant, VACorps will refund any funds paid for the program, and the Participant agrees not to make any further claims against VACorps for losses or damages incurred due to this cancellation.
- If the Participant cancels their program participation after accepting their internship placement and paying the USD 650 internship acceptance and confirmation deposit, they are not entitled to a refund of the USD 350 program deposit or the USD 650 internship acceptance deposit due to services already rendered.
- If the Participant cancels their program attendance after fully paying for their program:
- 61 (sixty-one) days or more before the program commences, they are entitled to a full refund of the final program fee of USD 1750.
- More than 30 (thirty) days but less than 61 (sixty-one) days before the program commences, they are entitled to a refund of 50% (fifty percent) of the final program fee of USD 1975 (USD 987.5).
- Less than 30 (thirty) days before the program commences, the Participant is liable for the full program fee.
- In the event that VACorps suspends a program before the Participant’s commencement date, the Participant is entitled to a refund of the final program balance fee of USD 1975 (if already paid) and will receive a lifetime credit for the non-refundable portion of the program fee of USD 1000 (if already paid). This lifetime credit can be applied to any of our programs at any future date, transferable to family members or friends, holds no cash value, and is not redeemable for cash. VACorps will not provide compensation for additional costs incurred, such as canceled flights and accommodation.
- Participants, in consultation with VACorps, may defer their program participation provided there is capacity in the program and a suitable internship placement can be arranged. In case of deferment, any amounts already paid to VACorps will be applied to the deferred program participation fees, and no refund will be issued.
- The VACorps Program Fee is a fixed USD 2975, and the company does not offer partial refunds for early participant departures and/or unused program services once the Participant’s program has commenced.
